Job Summary: The Customer Experience & Accounts Assistant is responsible for delivering an excellent customer experience at the front of the pharmacy while maintaining accurate cash handling, sales reconciliation, and basic bookkeeping. You are the first person every customer meets, the trusted advisor for anyone browsing personal care, cosmetics, and baby products, and the disciplined operator behind the till, the daily cash-up, and the sales records.
Key Duties and Responsibilities:
- Customer Experience & Sales Support — approximately 35%
- Warmly welcome every customer arriving at the pharmacy and provide friendly, professional and respectful service
- Quickly understand each customer’s needs and provide an efficient and appropriate shopping experience
- Support customers with the Personal Care & Cosmetics and Baby Products ranges, including skincare, cleansers, moisturizers, sunscreen, haircare, baby toiletries and feminine care
- Ask appropriate questions to help customers select products based on needs, skin type, sensitivities, budget and use occasion
- Cross-sell thoughtfully where a related product genuinely adds value to the customer’s purchase; never pushy
- Refer all clinical questions, prescription queries and medicine-advice requests to the dispenser or pharmacist
- Handle customer complaints calmly and professionally and escalate matters to the pharmacist when required
- Maintain strong knowledge of the pharmacy’s product range, prices, key product features and supplier promotions
- Support front-of-shop merchandising and ensure displays are attractive, clean, organized and adequately stocked
- Accounts, Cash & Revenue Management — approximately 40%
- Process every sale through the pharmacy’s ERP/POS system; no off-system transactions are permitted under any circumstances
- Accurately receive and record cash, Mobile Money and card payments, where applicable
- Count and verify cash received, issue correct change and maintain an organized and secure cash drawer
- Print and issue a receipt for every customer transaction
- Process Mobile Money transactions and maintain accurate records of MTN MoMo and Airtel Money collections; reconcile merchant balances daily
- Maintain strict control over all customer payments and ensure that recorded sales agree with actual collections
- Maintain the petty cash book for authorized expenses and ensure that every payment is supported by a receipt or voucher
- Prepare banking schedules and ensure daily collections are banked in accordance with the pharmacy’s SOP
- Maintain proper filing of cash-up sheets, receipts, banking records, petty cash documents and other financial records
- Immediately report suspected fraud, theft, manipulation of transactions or any other financial irregularity to the Supervising Pharmacist
- Reconciliation & Financial Reporting — approximately 20%
- Prepare the daily sales and collections reconciliation covering opening float, cash sales, Mobile Money receipts, card receipts, expenses paid out and closing balance
- Reconcile actual collections against the ERP/POS daily sales report and identify any differences Investigate, document and promptly escalate any unexplained variance between recorded sales and actual collections on the same day it arises
- Complete daily cash-up and submit the required reconciliation reports to the Supervising
Pharmacist
- Assist with preparation of simple daily, weekly and monthly sales and revenue summaries
- Maintain accurate and up-to-date records to support monthly financial reconciliation and management reporting
- Provide basic accounts information and supporting documents requested by the Supervising Pharmacist or external accountant
- Maintain confidentiality of all financial, customer and pharmacy business information
Merchandising & General Support — approximately 5%
- Keep the front counter and personal-care displays attractive, tidy and well stocked
- Suggest merchandising improvements based on customer requests, purchasing patterns and product movement
- Support restocking of front-of-shop displays during quieter periods
- Open or close the pharmacy according to the daily rota and follow the applicable security checklist
Qualifications, Skills and Experience:
- Diploma in Accounting, Business Administration, Finance, Commerce or a related field from a recognized institution
- At least 2 years of experience in retail, pharmacy, accounts, supermarket, hospitality or another customer-facing role
- Demonstrable experience handling cash and reconciling daily sales or collections
- Working knowledge of basic bookkeeping and financial record-keeping
- Solid Microsoft Excel skills, including SUM, IF, VLOOKUP/XLOOKUP, formatting and basic pivot tables
- Demonstrable numeracy and strong attention to numerical accuracy
- Familiarity with POS/ERP systems and Mobile Money platforms, including MTN MoMo and Airtel Money
- Fluent in English
- Two verifiable professional references from previous employers; one must be from the most recent supervisor
- Clean criminal record; verification will be requested because the role involves access to cash and financial records
