PRINCIPAL'S PERSONAL ASSISTANT

Job Purpose

To provide high-level administrative, organisational and secretarial support to the Principal, ensuring efficient coordination of the Principal's office and timely follow-up of institutional activities.

Key Responsibilities

  • Manage the Principal's diary, appointments and official engagements.
  • Receive, screen and respond to routine correspondence on behalf of the Principal.
  • Prepare letters, memos, reports, minutes and other official documents.
  • Maintain confidential records and files in the Principal's office.
  • Schedule meetings and coordinate appointments.
  • Prepare meeting agendas and relevant documentation.
  • Take minutes during meetings when required.
  • Follow up on action points arising from meetings.
  • Receive and direct visitors to the Principal's office.
  • Handle telephone calls, emails and other official communications.
  • Coordinate communication between the Principal and staff, students, government agencies and external stakeholders.
  • Assist in preparing reports and presentations.
  • Organise travel arrangements and official programmes for the Principal.
  • Maintain an effective filing and document-management system.
  • Handle confidential institutional information with discretion.
  • Support preparation for inspections, meetings, events and official visits.
  • Assist the Principal in monitoring implementation of assigned administrative tasks.
  • Perform other duties assigned by the Principal.

Qualifications and Skills

  • Diploma or Bachelor's Degree in Secretarial Studies, Office Administration, Business Administration, Management or a related field.
  • Relevant experience as a Personal Assistant, Executive Assistant, Secretary or Administrative Assistant is an advantage.
  • Excellent written and verbal communication skills.
  • Strong computer skills, including Microsoft Office.
  • Excellent organisational and time-management skills.
  • Ability to handle confidential information with discretion.
  • Professional appearance and interpersonal skills.
  • Ability to work under pressure and manage multiple priorities.
  • High level of integrity, reliability and attention to detail.
