Job Summary: A Human Resource Officer is responsible for the overall Human Resource and Administrative duties; ensures appropriate LTU human resource policies are effectively communicated and adhered to by all employees in line with LTU Strategy, supports HR Operations & Administration.
Key Duties and Responsibilities:
HR Policies & Procedures
- Ensures organizational compliance with applicable Human resource related statutes and regulations
- Maintains and Communicates HR Policies to staff on a bi-weekly basis and ensures adherence
- Executes distribution of Employee Handbook and ensure all relevant HR documentation are distributed to employees and collected for filing
- Supports in the process of implementing HR initiatives aimed at enhancing good working relations i.e meeting, social events & culture
Recruitment and Selection
- Follows up on the motivation to hire for approval, drafts, designs and updates job adverts
- Ensures vacancy announcements on the Career Portal, LinkedIn and track status of applications for shortlisting
- Supports in the recruitment process and participate in screening of applicants
- Supports with maintaining records for reference checks and academic verifications ensuring the completion of the pre-recruitment formalities
HR Operations & Relationship Management
- Ensures all eligible employees are onboarded on the company insurance covers and liaises with the Medical Insurance service provider to enable acquisition of staff medical cards
- Ensures all new staff go through the induction process for LIT-Uganda
- Organizes and conducts Exit interviews
- Interacts and gives employees administrative guidelines and gathers information pertaining their concerns and gives feedback to management
- Manages the leave system, keeps historical leave records, and ensures adherence to the leave plan
- Compiles all payroll related data is captured, approved and reviewed. Ensures accuracy of all data captured month on month.
- Participates in job profiling and grading as directed from Time to Time by the line manager
Employee Wellness
- Aligning the annual wellness calendar with the LIT-Uganda calendar as designed month on month. Shares updates to staff about the upcoming wellness programs
- Ensures staff participation in the wellness activities
- Collects and gathers feedback pertaining to wellness for continuous improvement and give feedback to management
Staff Development & Performance Management
- Coordinates performance management process and ensures relevant documentation is filed
- Participates in sourcing of trainers as per the training needs
- Coordinates staff trainings and development including supporting the line managers with the training schedule adherence
- Updates the Training Tracker and Training Days Tracker on a monthly basis
Administration Related Duties
- Verifies Invoices for HR & Administration third-party service providers on a monthly basis
- Ensure all staff have valid Identity cards and Company work tools as required
- Ensures hygiene and quality environment within the office premises
Qualifications, Skills and Experience:
- Bachelor’s Degree or its equivalent in Human Resource Management related field in a recognized institution (Essential).
- At least 2 years of working experience in a Human Resources Management environment (Essential)
- Membership to Human Resource Managers Association of Uganda (Desirable)
- Knowledge and Skills Areas
- Good knowledge of Uganda labour laws.
Good knowledge of Best Human Resource Practices
