PRINCIPAL'S PERSONAL ASSISTANT
Job Purpose
To provide high-level administrative, organisational and secretarial support to the Principal, ensuring efficient coordination of the Principal's office and timely follow-up of institutional activities.
Key Responsibilities
- Manage the Principal's diary, appointments and official engagements.
- Receive, screen and respond to routine correspondence on behalf of the Principal.
- Prepare letters, memos, reports, minutes and other official documents.
- Maintain confidential records and files in the Principal's office.
- Schedule meetings and coordinate appointments.
- Prepare meeting agendas and relevant documentation.
- Take minutes during meetings when required.
- Follow up on action points arising from meetings.
- Receive and direct visitors to the Principal's office.
- Handle telephone calls, emails and other official communications.
- Coordinate communication between the Principal and staff, students, government agencies and external stakeholders.
- Assist in preparing reports and presentations.
- Organise travel arrangements and official programmes for the Principal.
- Maintain an effective filing and document-management system.
- Handle confidential institutional information with discretion.
- Support preparation for inspections, meetings, events and official visits.
- Assist the Principal in monitoring implementation of assigned administrative tasks.
- Perform other duties assigned by the Principal.
Qualifications and Skills
- Diploma or Bachelor's Degree in Secretarial Studies, Office Administration, Business Administration, Management or a related field.
- Relevant experience as a Personal Assistant, Executive Assistant, Secretary or Administrative Assistant is an advantage.
- Excellent written and verbal communication skills.
- Strong computer skills, including Microsoft Office.
- Excellent organisational and time-management skills.
- Ability to handle confidential information with discretion.
- Professional appearance and interpersonal skills.
- Ability to work under pressure and manage multiple priorities.
- High level of integrity, reliability and attention to detail.
